Not just transcription — MatterPilot helps turn dictated information into structured, reviewable legal outputs: file notes, actions, key dates, draft correspondence and typist instructions, from a single recording.

Step one
Record, submit and transcribe
Fee earners dictate in the browser with a proper editing timeline — insert, overwrite, append — or upload existing audio. Professional dictation hardware (Philips SpeechMike and foot controls) is supported for hands-free working. Each dictation is sent either to secure AI transcription or to the firm's typist pool, where typists claim work, type along to synchronised audio playback, and complete the transcript. Priorities keep urgent work at the top.
A real recorder
Timeline editing, insert and overwrite, append to saved recordings — dictation as it should work, not a voice-notes app.
AI transcription
Secure Azure-hosted speech-to-text produces the draft transcript, with word-level timings for listen-along review.
Typist workflow
A pool-and-claim queue for support staff: the AI draft is their starting point, karaoke-style playback keeps their place, and completed work returns to the fee earner.
The differentiator
The Dictation Output Pack
Once a dictation is transcribed, MatterPilot's AI analysis turns it into a complete, structured pack — every part of it a draft for review.
Clean transcript
Fillers and false starts removed, spoken commands like "new paragraph" applied — nothing added, nothing inferred.
File note / attendance note
A structured note — background, key points, instructions received, advice given, decisions and next steps — ready for the matter file after review.
Actions and key dates
Extracted tasks and dates, each carrying the exact wording it came from. Accept, edit or dismiss each one — nothing is assumed.
Draft client email or letter
Generated on request in the fee earner's voice, clearly labelled as an AI-assisted draft requiring review, and exportable to Word.
Typist instructions
What document is needed, who it goes to, urgency, enclosures and any questions for the fee earner — extracted from the dictation for the typist.
Review flags
Possible deadlines, unclear instructions, compliance concerns — raised as questions for a person to answer ("Possible deadline mentioned. Please confirm."), never as conclusions.
Every part of the Output Pack is draft or support material. Actions wait to be accepted, dates wait to be confirmed, flags wait to be answered and drafts carry a visible "AI-assisted draft — review required before use" label until someone marks them reviewed. The fee earner stays in control of what reaches the file; nothing is sent, filed or acted on automatically.
Source wording attached — every extracted action, date and flag shows the words it came from.
Honest confidence — uncertain dates and low-quality audio are flagged, not glossed over.
Review state is remembered — accepted, dismissed and reviewed decisions survive re-analysis.
