Sub-processor List
MatterPilot — operated by Document Scan Ltd. Correct as at 9 July 2026.
This list sets out the sub-processors used to deliver the MatterPilot platform and what each one processes. It is deliberately short: the platform is built on Microsoft Azure services in the UK, and we do not use third-party email marketing, analytics or AI intermediaries in the processing of firm data.
Sub-processors
| Sub-processor | Service | Processing | Region |
|---|---|---|---|
| Microsoft (Azure) | Azure App Service | Hosts the MatterPilot application. | United Kingdom |
| Microsoft (Azure) | Azure SQL Database | Stores application data (firm, user and matter-related records). | United Kingdom |
| Microsoft (Azure) | Azure Storage (Blob and Queue) | Stores audio recordings, documents and generated files; queues background processing work. | United Kingdom |
| Microsoft (Azure) | Azure AI Speech | Transcribes dictation, meeting and call audio. | United Kingdom |
| Microsoft (Azure) | Azure OpenAI Service | Generates summaries, notes, action lists and draft text from transcripts and documents, within MatterPilot's own deployment. Not used to train public models. | United Kingdom |
| Microsoft (Azure) | Azure Monitor / Application Insights | Operational telemetry (performance, errors and diagnostics) for running the service. | United Kingdom / Microsoft-managed |
What is deliberately absent
- No consumer or third-party AI intermediaries. AI processing runs through Azure-hosted deployments operated by MatterPilot; firm data is not sent to public chatbots or AI resellers.
- No external document-conversion services. Document conversion, comparison and bundling run in-process inside the platform using licensed software components — documents do not leave the platform to be processed.
- No third-party email, marketing or analytics providers process firm data. Website enquiries are stored in the platform and handled by our own staff.
Changes to this list
If we engage or replace a sub-processor that processes firm data, we will update this published list and give customer firms reasonable prior notice in line with their Data Processing Agreement, including an opportunity to object.
